Privacy Policy
How Talent Forge Group collects, uses, shares, and protects your personal information, written in plain English, the way we’d want it explained to us. It applies to our website, our candidate services, and our employer partnerships.
Our promise, in brief.
- We collect only what we need to match real people with real roles.
- We never sell your personal information. No exceptions.
- Your resume reaches an employer only with your knowledge.
- One email is all it takes to access, correct, or delete your data.
The short version, before the fine print.
Who we are & what this policy covers
In plain terms: this policy explains what Talent Forge Group does with personal information across our website and recruitment services, whether you’re a candidate, an employer, or just visiting.
Talent Forge Group (“Talent Forge,” “we,” “us,” or “our”) is a recruitment and staffing firm that connects skilled professionals with high-trust employers across engineering, healthcare, finance, construction, and other industries, coast to coast across the United States.
This Privacy Policy applies to personal information we collect through our website, our candidate and employer services, our scheduling and communication tools, and our day-to-day business operations. For the personal information described here, Talent Forge Group acts as the data controller, meaning we decide how and why it is used.
By using our website or services, you acknowledge the practices described in this policy. If anything is unclear, contact our privacy team, we’d rather over-explain than leave you guessing.
Information we collect
In plain terms: we collect the details you’d expect a recruiter to need: who you are, what you do, and how to reach you, plus basic website usage data. Nothing more.
The categories below cover the personal information we collect, with examples and where each comes from. We collect it only when we have a genuine reason connected to matching people with roles or running our business.
| Category | Examples | Where it comes from |
|---|---|---|
| Identity & contact | Name, email address, phone number, city and state | Directly from you (forms, resume submissions, calls) |
| Career & professional | Resume / CV, work history, education, certifications, skills, salary expectations, references | Directly from you; public professional profiles you maintain |
| Employer & business contacts | Company name, job title, hiring needs, role requirements | You or your organisation |
| Usage & device | Pages visited, browser and device type, IP address, approximate location | Cookies and similar technologies (see section 06) |
| Communications | Emails, enquiry messages, call notes, scheduling details | Directly from you and our team’s records |
We do not ask for, and encourage you not to send, sensitive personal information (such as health details, government ID numbers, or financial account numbers) unless it is genuinely required for a specific placement and we have told you why.
How we use your information
In plain terms: we use your information to do our actual job, matching great people with great roles, and to run a secure, improving website. Never to sell it.
We use personal information to:
- Match candidates with roles: assessing skills, experience, and fit against opportunities we’re working on.
- Present your profile to employers: only for roles we’ve discussed with you, and only with your knowledge.
- Respond and schedule: answering enquiries, booking strategy calls, and managing interviews and placements.
- Serve our employer clients: understanding hiring needs, shortlisting, and managing our business relationship.
- Send updates you asked for: like our monthly newsletter of hiring signals and market notes. Every email includes an unsubscribe link.
- Run and improve our website: keeping it secure, measuring what’s useful, and fixing what isn’t.
- Meet legal obligations: record-keeping, tax, employment law, and responding to lawful requests.
We do not use your personal information for automated decisions that would have a legal or similarly significant effect on you without human involvement. A real recruiter reviews every match.
Legal bases for processing
In plain terms: where laws like the GDPR apply, we only process your data when we have a recognised legal reason to do so. Here’s the mapping.
| Legal basis | When we rely on it |
|---|---|
| Consent | Newsletter subscriptions, presenting your profile to a specific employer, and any non-essential cookies. You can withdraw consent at any time. |
| Contract | Providing the recruitment services you’ve asked for, managing your search, placements, and related agreements. |
| Legitimate interests | Operating and securing our website, improving our services, and business development with employer contacts, always balanced against your rights. |
| Legal obligation | Employment, tax, and record-keeping requirements, and responding to lawful requests from authorities. |
How we share information
In plain terms: we share candidate profiles with the employers we’re introducing you to, and we use a small set of vetted service providers to run our business. We never sell your personal information.
We share personal information only in these situations:
- Prospective employers: if you’re a candidate, we share your profile with the specific clients whose roles we’ve discussed with you. We don’t blast your resume across the market.
- Service providers: trusted vendors who host our website, deliver email, provide analytics, and power scheduling (for example, Cal.com when you book a strategy call). They may only use your data to provide services to us.
- Professional advisers: lawyers, accountants, and insurers where reasonably necessary.
- Legal and safety: where required by law, court order, or to protect the rights, safety, and property of our candidates, clients, team, or others.
- Business transfers: if Talent Forge Group is involved in a merger, acquisition, or asset sale, personal information may transfer as part of that transaction, under the protections of this policy.
Our website also links to third-party sites and embeds third-party tools (such as social platforms, Google Fonts, and Cal.com). Their privacy practices are governed by their own policies, which we encourage you to read.
Cookies & tracking technologies
In plain terms: we use a small number of cookies to keep the site working, remember your choices, and understand what’s useful. You can control them in your browser.
| Type | Purpose | Typical duration |
|---|---|---|
| Essential | Core site functions, security, and form submissions. The site can’t work without these. | Session |
| Preferences | Remembering choices you make on the site so you don’t have to repeat them. | Up to 12 months |
| Analytics | Understanding how visitors use our pages, in aggregate, so we can improve them. | Up to 24 months |
| Third-party embeds | Scheduling (Cal.com) and font delivery (Google Fonts) load only when those features are used. | Set by the provider |
Most browsers let you refuse or delete cookies through their settings. Blocking essential cookies may stop parts of the site, like the contact form or call booking, from working properly. Where required by law, we honour opt-out preference signals such as Global Privacy Control.
How long we keep your data
In plain terms: we keep data only as long as it’s useful for your search or required by law, and you can ask us to delete it sooner at any time.
| Data | How long we keep it |
|---|---|
| Candidate profiles & resumes | Up to 24 months after our last meaningful contact, unless you ask us to delete sooner or want us to keep you in mind for future roles. |
| Client & employer records | For the length of our relationship, plus up to 7 years where law or contract requires. |
| Website enquiries | Up to 12 months after the enquiry is resolved. |
| Newsletter details | Until you unsubscribe, then only a suppression record so we don’t email you again. |
When data is no longer needed, we delete it or irreversibly anonymise it. Where deletion isn’t immediately possible (for example, in secure backups), we isolate the data until deletion is.
How we protect your data
In plain terms: we treat your information the way we’d want ours treated, encrypted, access-controlled, and shared with as few people as possible.
We apply technical and organisational safeguards that are proportionate to the data we hold, including:
- Encryption in transit (TLS 1.2+) and at rest for our core systems.
- Least-privilege access: only the team members working your search can see your file.
- Vendor due diligence: we choose service providers with strong security practices and bind them contractually.
- Incident response: if a breach ever affects your data, we’ll notify you and regulators as the law requires, without dragging our feet.
No method of transmission or storage is 100% secure, so we can’t guarantee absolute security, but we work hard to earn the trust you place in us, and we keep improving.
Your rights & choices
In plain terms: it’s your data. Depending on where you live, you can see it, fix it, take it with you, or ask us to delete it, and we make that easy.
Access
Ask for a copy of the personal information we hold about you.
Correction
Fix anything that’s inaccurate or out of date: new role, new number, new city.
Deletion
Ask us to remove your profile and resume from our database.
Portability
Receive your data in a portable, machine-readable format.
Object & restrict
Object to certain uses, like direct marketing, or ask us to pause processing.
Withdraw consent
Change your mind at any time where we rely on your consent.
To exercise any of these rights, email admin@talentforgegroup-com-147082.hostingersite.com with the subject line “Privacy request.” We’ll verify it’s really you, usually by replying to the email address on file, and respond within one business day, completing most requests within 30 days or sooner where the law requires. We will never treat you differently for exercising your rights.
US state privacy rights
In plain terms: if you live in California or another state with a privacy law, you get extra, named rights. The headline stays the same: we don’t sell or share your data for advertising.
Residents of California (CCPA/CPRA) and other US states with comprehensive privacy laws may have the right to know, access, correct, and delete personal information; the right to opt out of the “sale” or “sharing” of personal information; the right to limit the use of sensitive personal information; and the right not to be discriminated against for exercising these rights.
We do not sell personal information, and we do not share it for cross-context behavioural advertising. We also do not knowingly collect or process sensitive personal information for purposes beyond those permitted by law. Where required, we honour Global Privacy Control signals as a valid opt-out.
You may use an authorised agent to submit a request on your behalf; we’ll ask for proof of authorisation and verify your identity. If we decline a request, you can appeal by replying to our decision email, and we’ll have someone new take a second look.
International visitors & transfers
In plain terms: we’re a US company, so your data is processed in the United States, with legal safeguards in place if you’re contacting us from abroad.
Talent Forge Group is based in the United States, and the personal information we collect is stored and processed there. If you access our services from the European Economic Area, the United Kingdom, Switzerland, or another region with data transfer rules, we rely on appropriate safeguards, such as standard contractual clauses with our service providers, where they are required.
You can ask us about the safeguards that apply to your data by contacting our privacy team.
Children’s privacy
In plain terms: our services are for working professionals, not children, and we don’t knowingly collect children’s data.
Our website and services are not directed to individuals under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
Changes to this policy
In plain terms: when we update this policy, we’ll change the date at the top, and if the change is significant, we’ll make sure you actually notice.
We review this policy regularly and update it as our services, technology, or the law changes. The “Last updated” date at the top of this page always reflects the current version. For material changes, we will provide a prominent notice on our website, and, where appropriate, email the people it affects, before the change takes effect.
Contact our privacy team
In plain terms: a real person reads every privacy email and replies within one business day. No ticket queues, no dead ends.
Questions, requests, or concerns? We’re listening.
Write to us for anything in this policy: access and deletion requests, questions about how your resume is handled, or concerns you’d like resolved. Mark your message “Privacy request” so it reaches the right people fastest.
If you’re not satisfied with our response, you also have the right to lodge a complaint with your local data protection authority or your state attorney general.
